Q: What do the blue, red and green dots symbolize in my DPO?
A: ADD provides the color-coded indicators as a feature in your DirectPost-Office (DPO) as another method for tracking the progress of your certified letters in the mail stream. The numbers in the colored dots represent the number of letters that have been sent out (a ③ might indicate letters to the vehicle owner, lienholder, and insurer).
- A blue dot means that your certified letters are waiting to enter the mail stream.
- A red dot means that your letters are in the mail stream but have not been delivered.
- A green dot means that your letters have been delivered to the interested parties.
A packet can only be deleted when the indicator is blue. A green indicator reflects that your letter packet is ready, and includes your proof of mailing (3877s). Once your packet is green, you can click Complete Your Packet and take your paperwork to the DMV or Tax Collector’s office for processing.
Q: Does ADD offer a way to pre-populate my frequently used letters and forms with my company and pricing information?
A: Yes! ADD offers a time-saving feature that pre-populates your commonly used letters and forms with information specified by the user. By using ADD’s Form Tool Profiles Wizard , you can save time by choosing to pre-fill company information, administrative fees, towing and storage fees or newspaper information, just to name a few! To utilize this feature, follow the step-by- step instructions below, or contact ADD at info@add123.com.
- Log in to your ADD account with your username and password, and click on the Preferences tab.
- By default, you will be directed to the Form Profiles page.
- Click the Modify link next to your company’s profile.
- Make sure your company information is correct, and then click the Nex t button.
- Find form for which you want to pre-fill information and click the Add link next to the form name.
- Fill out the information you would like to auto-fill each time you use the selected form or letter and then click Submit.
Q: How do I use the DPO filters to find specific letters?
A: ADD’s DPO filter is a useful tool that allows users to find selected certified letters using three searches:
- VIN/PIC/Tracking Number
- Date Range
- Auction Date
Each time you access DPO, the last 30 days of letters are displayed by default; however, using the DPO filters, you can find any letter sent via certified mail within the past 18 months.
For example, if you need to retrieve certified letter that was mailed in June 2010, using the Select Date Range dropdown menu, under 2010, choose June. All letters that were sent out in June 2010 will be displayed.
To perform a more specific search for a single vehicle, enter the last six characters of the VIN in the VIN/PIC/Tracking # filter and click Search. Only the letters for vehicles matching that VIN will be displayed.
NOTE: VIN/PIC/Tracking # filter will search and return results for all letters, including those marked as “Released” or “Done.” The Select Date Range filter will not display letters marked “Released” or “Done” unless you click the “Show Released” or the “Show Done” links at the bottom of the DPO Post View.
Q: What types of forms does ADD offer for Florida towing companies?
A: ADD offers four commonly used forms for Florida towing companies to add to their DPO letter packets at no additional charge. The entire packet can then be taken to the Tax Collector’s office or DMV.
Florida towing companies can include:
- Bill/Notice of Sale (82050)
- Transfer Title (82040)
- Wrecker Lien (82497)
- Certificate of Destruction (82012)
To add any of these forms to your packet:
- Under your DPO tab, click the VIN to which you’d like to attach a form.
- Click on the gray Attach Forms tab located above the VIN number.
- From the Select Form Type dropdown menu, choose the form to attach.
- Click Open PDF Application.
- Enter the required information, and then click on Add to DirectPost-Office Packet.
Q: What types of forms does ADD offer for Florida auto dealers?
A: ADD offers Repossession Notification Letters for Florida Buy-Here Pay- Here auto dealers when a standard repossession attempt fails.
Pursuant to Florida Statutes 320.02(17), 320.03(8) and 319.27, Buy-Here Pay- Here dealers can prevent customers who are behind in their payments from registering or renewing any vehicles associated with their driver license number until the vehicle with the unpaid account is surrendered, or the monies owed have been recovered.
